GSR 2007 Press Policy

 

Welcome to the 5th IISS Global Strategic Review.  Since its inaugural meeting in 2002, the Review has established itself as the premier forum for debating pressing issues of international security with  senior government officials, leading researchers, and many of the Institute’s influential members from around the world.    The Global Strategic Review is an open and free-flowing forum that delves into the foremost security challenges of the day and cultivates innovative ideas across multiple disciplines and professions.

 

We greatly appreciate the role that the media play in helping to share the proceedings and ideas of the Global Strategic Review with the wider international community.

 

Please find below our guidelines for coverage of the Review, together with instructions regarding registration and other logistical requirements.  Press Registration must be completed by Monday, 3 September 2007 because of  space restrictions.

 

To ensure that   the Global Strategic Review remains an intimate and elite forum,  the IISS is only able to grant a small group of individually-invited media representatives access to the Keynote Address, plenary sessions and break out groups.  If you would like to request an invitation, please contact gsrpress@iiss.org. 

 

Press must register and may do so from the last week of July until Monday, 3 September 2007.  Registration details will be sent along with invitations.

All media representatives are invited to cover the Keynote Address and plenary sessions. These events are on-the-record.  Journalists are permitted to ask questions during plenary sessions’ Q&A. 

 

For the Keynote Address, for reasons of protocol, media representatives admitted to the ballroom must stay for the duration.  However, for the plenary sessions, media representatives may enter and leave as they wish.

 

Limited space in the InterContinental Hotel may restrict journalists to standing room for some of the events.  However, the press room (see below) will be equipped with a live feed, work space and internet. 

 

Space permitting, media representatives are invited to observe the Break-Out Groups.  The Break-Out Groups are strictly off-the-record and can only be used for background purposes.  Agencies must seek prior approval from Caitlin Brannan (Organiser) or Kay Floyd (Press Officer) to gain entry.

 

The press room will be located in the Salon Vienne and will have work space, a live feed of the Keynote Address and plenary sessions, and internet.  Journalists will need to bring their own laptops.  If you have any additional technical requests, please contact gsrpress@iiss.org as soon as possible.  We regret that it might not be possible to fulfil all requests at this point.

 

If speeches have been given to the IISS either before or after the remarks are made, we will make those available to journalists.  We will NOT be running a transcription service and encourage journalists to bring handheld recording devices.

 

Journalists are permitted to attend the buffet lunch on Saturday and Sunday, as well as all coffee breaks.  Journalists are not permitted to attend the dinners or the reception on Friday night.

 

There will be ample opportunity to request interviews during the coffee breaks, through the Press Officer and between formal proceedings.  The IISS Press Officer will facilitate media arrangements and will direct requests to the delegates in an official capacity in order to arrange interview and photo opportunities.  Similarly, the Press Officer will convey media requests from delegates to the media agencies if any are made.

 

In the Press Room, there will be an ‘Interview Request Form’ for all Delegate interview requests.  Once completed, the Press Officer will submit batches of these at different intervals to the delegates with the request that they contact the media individuals direct.  Alternatively, media representatives may submit these to the hotel lobby for delivery to rooms.

 

Journalists who manage to obtain interviews with GSR participants are free to report statements provided that they have the full understanding and agreement of the interviewee.

 

There is limited space in the ballroom for the coverage of the opening address and plenary sessions.  Floor space must be booked in advance by contacting the IISS at gsrpress@iiss.org, stating clearly which sessions you would like to cover. 

 

During the proceedings photographers must keep to the rear of the ballroom and other designated areas.  However, we will endeavor to provide brief photo opportunities for the opening address and at the beginning of each plenary.  We would be grateful if photographers would return to the rear of the ballroom when requested to do so by a member of the IISS staff. 

 

Coverage of the Global Strategic Review by the media must be carried out with the understanding that the IISS will be afforded the right to reproduce articles submitted as a result of attendance at the Review both in its publications and on its website, and will also have the right to use images taken at the event, in generally but not exclusively the the same formats, free of charge.  As a consequence, the IISS would be grateful if photographers would submit copies of their images to enable the Institute to quickly assess imagery.  We would also be grateful if broadcast agencies would submit copies of the aired footage.  Photographers and broadcast agencies can be assured that the Institute will treat such imagery and coverage with due care and will only use it for Institute purposes.
